When is the best time to do the weekly review?
Friday afternoon, generally. The week is complete, so you have all the data. You’re slightly depleted from the week, which tends to produce honesty — your capacity to rationalize about how the week went is reduced by the accumulated cognitive load.
Some practitioners prefer Friday morning (more energy, but the day isn’t complete). Others use Sunday evening (full perspective on the week, but more temporal distance from the events). Monday morning in theory provides the most complete data but is the worst time to change your schedule for the upcoming week, since Monday is already in motion.
Friday afternoon in the range of 3:00–5:00 PM is the most common and most consistently maintained slot. Pick a time that’s after your last significant commitment of the week and before you fully disengage.
Do I need to do this every single week?
Consistency matters more than perfection. Fifty reviews across a year is vastly more valuable than twelve thorough reviews. The weekly review builds its value through compounding — each review builds on the last, patterns only become visible across multiple weeks, and behavioral changes only produce measurable effects when applied consistently.
Missing a week occasionally is not a problem. Missing three or four weeks consistently means the habit has lapsed and needs to be re-established. The minimum viable review in a hard week is five minutes: one sentence each for win, leak, and shift, no AI required.
I’ve tried weekly reviews before and abandoned them. Is this different?
Possibly, if your previous attempts failed for one of the common design reasons. I don’t track my time in a tool. Is my calendar enough?
Yes. Calendar data is the starting point for most practitioners, and it’s sufficient for a useful review.
Your calendar tells you when meetings happened, how long they were, and whether you had any protected time blocks. From that, you can estimate deep work time (non-meeting blocks where you were likely doing focused work), admin time (estimated based on typical patterns), and meeting load (directly visible).
The limitation of calendar-only data is that it doesn’t distinguish between “calendar block where I did deep work” and “calendar block where I was interrupted six times and got nothing done.” Adding a brief daily note — even just a rough hour estimate by category — closes most of that gap.
How precise do my estimates need to be?
Round to the nearest half-hour. Precision beyond that rarely changes the analysis. The AI is looking for relative proportions (how much of your week went to each category) and alignment patterns (do your categories match your stated priorities). A difference of 30 minutes in one category doesn’t change those conclusions.
The most common error is under-estimating admin and over-estimating deep work. When in doubt, estimate admin higher than feels right and deep work lower.
What if my week was highly unusual — should I skip the review?
No, but note the unusual circumstances in your data input. Unusual weeks contain different but still valuable information.
A week with a product launch contains data about how much time high-stakes events actually require. A week with unexpected illness or travel contains data about how your system responds under constraint. A week where everything went wrong is data about your system’s resilience.
The AI prompt can incorporate context: “This week was unusual because [X]. In your analysis, please distinguish between what’s unusual due to these circumstances and what might be a recurring pattern.”
Can I combine multiple weeks into one review if I missed last week?
Yes. Submit both weeks’ data together and ask for a combined analysis. Note explicitly that you’re combining two weeks. The analysis won’t be as precise as weekly (some weekly patterns get blurred), but it’s far better than skipping.
The prompt for a combined review: “Here is time data for two weeks combined — [week 1] and [week 2]. I want the standard Win/Leak/Shift analysis, but please note which patterns appeared in both weeks versus only one.”
Interpretation and AI Output
What if I disagree with the AI’s analysis?
Push back directly. The AI is working from imperfect data and limited context; your subjective experience of the week is a valid corrective input.
The most useful form of pushback: explain specifically what you think the AI missed and why. “You identified meeting load as my leak, but most of those meetings were client calls that directly generated revenue. The actual leak was the three internal status syncs that produced nothing actionable. Does that change the shift you’d recommend?”
The back-and-forth is often where the most useful analysis emerges. Your first impulse to defend a pattern the AI identified as a leak is worth examining — sometimes you’re right and the AI lacked context; sometimes the defensiveness is itself information.
The AI keeps identifying the same leak every week. What does that mean?
One of three things.
First possibility: the leak is real and recurring, and you’re not making the structural change required to address it. This is the most common cause. The fix is to make the structural change that addresses the root cause, not just name the symptom again.
Second possibility: the AI is identifying a necessary cost rather than an avoidable leak. Some recurring patterns are features of your role — a leadership role with high meeting load, a support-heavy product with a large admin overhead. If the “leak” is structurally necessary, the response is to plan your week to account for it rather than try to eliminate it.
Third possibility: the shift you’ve been committing to isn’t actually working, and you need to try a different structural change. If the same shift has appeared three weeks in a row without implementation, ask the AI: “I’ve committed to this shift three times without implementing it. What does that suggest about whether this is the right shift — and what alternative would achieve the same goal in a way I might actually do?”
How do I interpret a week where everything was high-meeting and I can’t imagine changing it?
Separate what was necessary from what was structural. In a high-meeting week, ask: of these meetings, how many were genuinely non-negotiable? How many could have been shorter? How many could have been async (email, written update) instead of synchronous?
Even in a week with twelve hours of meetings, there’s usually a subset that was truly necessary, a subset that was discretionary, and a subset that could be reformed (shorter, less frequent, or converted to written updates). The AI can help sort: “Here’s my meeting log from this week. For each meeting, tell me whether it appears structurally necessary, discretionary, or potentially convertible to an async format.”
Habit and Consistency
How do I make this a real habit and not just something I try for a few weeks?
Three design choices make the difference:
Protect the time slot. Book a recurring calendar event. Treat it with the same cancellation standard as a client meeting. Not cancelled — rescheduled within the same week at minimum.
Lower the bar in hard weeks. Define your minimum viable review before you need it: three sentences, five minutes, no AI. This is what you do when everything goes wrong on Friday. The habit continues; the quality varies.
Make the output non-optional. The review isn’t complete until you have a specific shift written down and ideally in your calendar. An open-ended reflection that ends without a commitment will drift toward meaninglessness over time.
What should I do after eight weeks of consistent reviews?

By week eight, you’ll have enough data to see trends: which categories are consistently over or under what you want, which types of shifts you implement and which you consistently avoid, whether your deep work time is trending up or down over the cycle.
The eight-week view typically surfaces one or two structural issues that are too slow-moving to appear in any single week’s analysis. Those are your next major lever.
Should I share my weekly review with my team or manager?
This is a personal choice and depends on your team culture. A few considerations:
Sharing the shift publicly creates a mild accountability mechanism — you’ve stated what you’re changing, which makes not changing it slightly more visible.
If your manager is interested in your time management practices, sharing summary data (deep work hours trending up, meeting load down) can be a useful way to demonstrate self-awareness without over-sharing personal reflection.
For teams: the most useful form of sharing is the shift, not the win or leak. Team members sharing their one shift for the week creates visibility into structural changes without requiring personal data disclosure.
Advanced Use
Can I use the weekly time review for managing a team, not just myself?
Yes, with modifications. The team version uses the same structure but starts from aggregate time data rather than individual data.
Each team member does their individual review. The team dimension is: at the end of the week, each person posts their one shift in a shared async channel (Notion, Slack, whatever you use). The manager reviews the shifts to identify patterns — are multiple people’s shifts indicating the same structural problem?

How does the weekly time review relate to quarterly goal-setting?
The weekly review is the operational feedback loop; quarterly goal-setting is the strategic frame.
